Mailer is Owner

Personalization is one of the key reasons many of our customers chose Mautic. Our Mailer is Owner feature is one way our customers can make emails feel like 1-1 messages rather than automations.

Creating Owners

In order to use Mailer is Owner, you must set up user roles for the team members who could “own” contacts in your Mautic instance. You may decide not to share login information with those “users”. It’s also common to limit permissions.

The signature field on a user page is not required. However, it can be useful if you’d like to a signature for each owner with the {signature} token.

Assigning Owners

Once you’ve added users, assign them as owners for your contacts. Often, sales territories define relationship owners, but you can use any criteria that fits your organization. There are several ways to update contact owners:

  • CSV import: Map a column in your .csv to the “Owner by username” field in Mautic. The column in your .csv must use the username for the user.
  • Manual: At the very bottom of a contact record, select the user from the Owner picklist field.
  • Campaign: Use a campaign action for Update contact owner and select the user from the Owner picklist field. There are two options to do this. First, you could create segments for each possible Owner with filters on the segments to determine who the owner should be (i.e. region, company size, annual revenue, etc.). Or, use a segment with all contacts and conditions within the campaign.
  • Integration or plugin: Mautic’s API has the ability to update contact records, including Owners. The CRM plugins have options to update contact owner based on the owner in the CRM.

Using Mailer is Owner

There are two ways to use Mailer is Owner.

First is the global configuration option, in Settings –> Configuration –> Email Settings.

This option overrides any other “from” information and always use the owner’s name and email address as the from name & address. If a contact doesn’t have an assigned owner, Mautic will use the from name and address on the email’s advanced tab. If the from name and address fields on the email are blank, Mautic uses the defaults in the configuration section.

The advanced tab on the email builder also has a Mailer is Owner option.

Mailer is Owner - Email

This is a much more flexible way to use the Mailer is Owner feature. Using this method, any single email you build can appear to come from a contact’s owner. It’s possible to build these emails into a campaign that has other emails coming from set addresses. This way, users don’t have to worry about turning the global configuration on and off.

A notice will appear if the email setting and the global configuration setting are different. The setting on the email overrides the global setting.

Note: The Mailer is Owner option was added to individual emails in July 2019. Any emails that were created prior to the feature change inherited the global setting at the time of the change by default. New emails created will default to whatever the global setting is at the time of creation.
