Segments

This document describes what a Segment is within Mautic and how to set one up.

A segment in Mautic can be thought of as a list or group of contacts. A user will want to set up segments to send emails, kick-off campaigns or to simply build a list for analysis. You can add and remove contacts from a segment multiple ways:

  • Manually moving contacts
  • Filtering
  • Using an Action in a Campaign or Form
  • Uploading contacts via CSV file directly into a Segment

Manually moving contacts

If you need to move a contact quickly into a segment that isn’t dependent on filters, you have the option to do this manually.

  1. Click into the Contacts section of the platform
  2. Search for the contact that you want to move
  3. Select the checkbox next to that contact
  4. Click on the green dropdown arrow that appears at the top of the column
  5. Select “Change Segment” from the list
  6. Start typing the name of the segment you’d like to add the segment to. You also have the option here to remove a contact from a segment manually.
  7. Click Save

The contact will now be automatically added or removed from that segment that was selected.

Filtering

Rely on Mautic to move your contacts to/from segments based on filters set up within your segment. You can filter on contact fields, company fields and even actions, such as emails sent or read. For the purpose of this document, we’ll create a segment that’ll pull in all contacts with the state field populated with “Massachusetts”.

To set up a segment using a filter, follow the steps below:

  1. Create a new segment by clicking on the “New” button
  2. Add a name and description to your segment
  3. Click on the “Filters” tab to add filters
  4. Click on the “Choose one” dropdown and search for the “state” field. All fields are in alphabetical order.
  5. Select State then look for “Massachusetts” in the dropdown list.
  6. Save and close

Once you’ve closed out of the builder, you will now see all contacts that have the state field equaling Massachusetts funnel into your new segment.

Users also have the ability to set up multiple filters with an “and” or “or” statement on a segment. For this example, we’ll want to see all contacts that live in Massachusetts or Colorado. To do this, we’ll adjust step 4 from above.

  1. Click on the “Choose one” dropdown and search for the “state” field. All fields are in alphabetical order.
  2. Select “State” then look for “Massachusetts” in the dropdown list.
  3. Click on the “Choose one” dropdown and search for the “state” field again.
  4. Select “State” then look for “Colorado” in the dropdown list.
  5. Change the “and” filter to “or”
  6. Save and close

Once you’ve closed out of the builder, you will now see all contacts that have the state field equaling Massachusetts or Colorado funnel into your segment.

 

Using an Action in a Campaign or Form

Segments need to be created before seeing them in a Campaign or Form action. Please create your segment first then follow the steps below to add/remove contacts from segments using an action. Within a campaign, a user can set up an action to add or remove a contact from a segment. This can be done at the start of the campaign or after the contact completes a certain decision or condition:

  1. Inside your campaign, click on a connector
  2. Select “Action”
  3. From the dropdown list of actions, select “Modify Contact’s Segment”
  4. Choose from the list of existing segments that you want to add/remove your contact from
  5. Save and close

 

This action is also available on Standalone Forms. If you want to move a contact directly into a segment after they submit a form then add an action on your form:

  1. Click on the “Actions” tab
  2. Click on “Add new submit action” and select “Modify contact’s segments”
  3. Select the segment you’d like to add/remove the contact from
  4. Click Add

Uploading contacts via CSV file directly into a Segment

If you have a static list of contacts (a list of contacts already filtered) and you’d like to upload it directly into a Mautic segment then follow the instructions below.

Note: You’ll need to create your segment first

  1. Click into the Contact section of the platform
  2. Click on the dropdown arrow in the upper-right hand corner and select, “Import”
  3. Make sure your file is in a UTF-8 CSV format. Select your file then click “Upload”
  4. At the top of the next screen, you can select the segment you want to add the contacts into
  5. Map the appropriate fields from the file (Remember to always map the unique identifier, so you don’t create duplicates)
  6. Click Import

If your file is larger than 1,000 rows than the system will change screens and inform you once the file has uploaded.

Once the contacts have been uploaded, click over to the Segments section of the platform and see your contacts added.
